Cancellation policy

    1.    Student Roost may cancel your booking at its discretion at any time before you check in to the property if:

    (i)    you have any rent arrears or owe any amounts/fees under any prior tenancy agreement or occupation contract with Student Roost or any member of its group;

    (ii)    you have not paid the rent due by the rent date, according to the payment frequency chosen during the booking process;

    (iii)    you have not paid the damages deposit;

    (iv)    you have not provided your guarantor's signed guarantee agreement (a) within 14 days of signing your tenancy agreement/occupation contract, or (b) before your check-in date, whichever is the earlier; or

    (v) You have not checked in within 14 days of the start of the tenancy period/occupation period, unless you have made arrangements with the property team for late arrival. You will be liable for the rent up to and including the date of termination.  

    2.    Student Roost may terminate your tenancy agreement/occupation contract at any time before the first day of the tenancy period/occupation period if you are not able to start or continue your course of study at your chosen university or college. You must notify Student Roost in accordance with the terms of Student Roost’s 2026/27 Cancellation Policy.

    TERMINATION DURING TENANCY PERIOD/OCCUPATION PERIOD

    3.    Student Roost may terminate your tenancy agreement/occupation contract at any time during the tenancy period/occupation period if:

    (i)    you cease to be a student in full-time education in the United Kingdom;

    (ii)    you engage in any criminal or anti-social behaviour;

    (iii)    you breach or fail to observe any obligation or other term of your tenancy agreement or occupation contract; or

    (iv)    your property is located in Scotland or Northern Ireland, the rent is unpaid for 14 days after becoming due (whether legally demanded or not).

    Student Roost will comply with all applicable laws when terminating your tenancy agreement/occupation contract in these circumstances.

    The effect of such termination will be to end the tenancy period/occupation period, but will not release you from any outstanding obligation,n and you will still be liable for the rent up to and including the date of termination and any other payments due.

    4.    If your property is located in England, Student Roost may apply to court for possession of the accommodation if any of the grounds numbered 2, 6, 7A, 8, 10, 11, 12, 13, 14, 15, or 17 in Schedule 2 of the Housing Act 1988 exist or arise.

    5.    If your property is located in Wales, Student Roost may make a possession claim to court for possession of the accommodation in the circumstances set out in Chapters 3 and 7 of Part 9 of the Renting Homes (Wales) Act 2016.

    Full details of the circumstances under which Student Roost can terminate your tenancy agreement/occupation contract are set out in your tenancy agreement/occupation contract. You are advised to read the tenancy agreement/occupation contract carefully.

    This Cancellation Policy is compliant with the ANUK/Unipol National Code (the “Code”). The Code may change from time to time, and if anything in our Cancellation Policy conflicts with the Code, the Code will take precedence.

    RESERVATION AGREEMENT AND HOLDING PAYMENT  
    You may cancel your Reservation Agreement by completing the form as soon as possible after accepting your Reservation Agreement.

    If a Holding Payment has been made and the Reservation Agreement accepted, a cooling-off period of three (3) days applies, starting from the date of the Reservation Agreement or payment of the Holding Payment (whichever is earlier).

    If you cancel your Reservation Agreement after the three-day cooling-off period, your Holding Payment will be retained.

    When you proceed to sign your Rental Agreement, any Holding Payment that you made will be deducted from your first instalment of rent.

    WHERE CANCELLATION CRITERIA ARE NOT MET

    If you wish to cancel your Rental Agreement but do not meet the Cancellation Criteria set out below, you will remain liable for the rent in full for the entire term of the Rental Agreement, unless we, at our sole discretion, elect to release you, subject to the conditions set out below.

    If you wish to cancel your Rental Agreement after commencement of the term of your Rental Agreement, and we agree to release you, you will remain liable to pay rent for four (4) weeks from the date we notify you in writing of your release, unless a suitable replacement tenant is found by you and approved by us (as set out below).

    REPLACEMENT TENANT

    If you wish to cancel your Rental Agreement but do not meet the Cancellation Criteria, you may find a suitable replacement tenant and request our approval of the same (which shall be at our sole discretion).
    To request a replacement tenant, please complete the form.  

    Please note that we will not agree to release you from your Rental Agreement, or to accept a replacement tenant, unless all outstanding accounts with us are settled in full.

    Replacement tenant conditions

    For a replacement tenant to be suitable, it must:
    •    be a student and meet the accommodation preferences attached to your room (for example, a female-only flat);
    •    not have any rent arrears under any other rental agreements with Student Roost;
    •    not be an existing resident or have an existing 2026/27 room booking with Student Roost; sign a rental Agreement for the entire length of the remaining term of your Rental Agreement and secure it with payment of any required deposit.

    If a suitable replacement tenant is found and approved by us (at our sole discretion), we will release you from your Rental Agreement and your liability to pay rent from the start date of the replacement tenant’s tenancy period, provided that the replacement tenant has signed their Rental Agreement and paid any required deposit on or before that date.

    Student Roost will return your damage deposit (if any), minus any deductions relating to unpaid rent or the condition of your room/flat upon departure.

    A tenancy takeover Fee of £50 will apply. This non-refundable fee covers the administrative costs associated with changing your Rental Agreement. YOU ARE ONLY PERMITTED TO DO THIS UNTIL 31 MAY 2027. FROM AND INCLUDING 1 JUNE 2027, AN OCCUPATION TAKEOVER IS NOT POSSIBLE.

    CANCELLATION CRITERIA (EXCEPTIONS ALLOWING CANCELLATION)

    You may be eligible to cancel your Rental Agreement if you meet one or more of the following Cancellation Criteria:
    1.    Visa Refusal – your application for a visa has been declined (this does not include situations where your visa has been granted and subsequently withdrawn);
    2.    Academic Results – you have failed to obtain the required grades to study at university at the start of the 2026/27 academic year, and as such, you do not have student status; or
    3.    Exceptional Circumstances – you meet the cancellation criteria and requirements set out in the Code in respect of rental agreements (which may include serious medical grounds or bereavement).

    In all cases, sufficient evidence to support your request must be provided.

    What constitutes sufficient evidence will be determined by us (acting reasonably), and may include official written documentation from UCAS, visa authorities, or an embassy, supporting your stated reason for cancellation.

    How to submit a cancellation request

    To submit a cancellation request where you meet the Cancellation Criteria, complete the form, including all relevant supporting evidence.
    Failure to provide sufficient evidence may delay our decision. We will respond either:

    •    confirming our decision; or
    •    requesting further information if required.

    If you submit a cancellation request which satisfies the Cancellation Criteria before the tenancy start date (and you have not checked in to the property), you will be released from your obligations under the Rental Agreement from the tenancy start date, provided that sufficient evidence has been shared with us within 4 weeks of the date upon which you submit your cancellation request.

    If you submit a cancellation request that satisfies the Cancellation Criteria after the tenancy start date, you will be released from your Rental Agreement effective four (4) weeks after sufficient evidence has been shared with us, and you will remain liable for rent from the tenancy start date until then.

    If a damage deposit has been paid, it will be returned following your release. However, if you have already moved into the accommodation, your deposit will be subject to deductions for:
    •    any unpaid rent during the period of occupancy up to the approved cancellation date; and
    •    any costs relating to the condition of your room/flat upon departure.

    Important Notes
    •    The early end of the academic year, or early completion of any examination period, does not qualify as a valid reason for release from your tenancy. You will remain liable for rent for the full tenancy period stated in your Rental Agreement.

    Please note that if you check into your accommodation and collect the keys during the cooling-off period, the cooling-off period will immediately and automatically end at the point you accept the keys.

    If you wish to cancel your occupational contract but do not meet the Cancellation Criteria, you may find a suitable replacement contract holder and request our approval of the same (which shall be at our sole discretion).

    The Cancellations team consider to which the circumstances that impact a customer's ability to live in the property. A serious illness, injury, or medical emergency that requires hospitalisation followed by prolonged recovery will be considered for cancellation. In such instances, the cancellations team will review your request, together with the provided evidence, liaising with you where necessary, and forward the request on to a Regional Director for consideration to ensure a balanced view is taken.  

    There may also be exceptional circumstances (e.g. bereavement) in which a customer may need to cancel. These, too, will be considered in light of the evidence provided. 

    Circumstances that will not be considered for cancellation and should be raised directly with your property team: 

    • Maintenance issues
    • Noise complaints
    • Incompatible flatmates

    Terminating your university/college course does not automatically make you eligible for cancellation. When submitting your request and evidence, please detail the sensitive or exceptional circumstances that have meant you have had to withdraw from university/college.  

    Circumstances that will not be considered for cancellation in this instance: 

    • Changed mind about university/college or course
    • Have decided to go to another university/college

    It depends on the reason why you have withdrawn from university and are no longer a student. Having a non-student status does not mean you are automatically eligible for cancellation. Please provide details on why you have withdrawn from studying and attach any applicable evidence.  

    If your cancellation request is declined, you will no longer be eligible to live in the student accommodation, but you will remain liable for the remaining rent instalments of the tenancy agreement or until a replacement tenant is found.

    If you have failed to obtain the visa needed to take up your university place at the start of the academic year, you can submit a cancellation request for consideration. This does not include situations where your visa has been granted and subsequently withdrawn or has expired. For example, if you make a booking that starts in September 2026 and finishes in August 2027, but your visa at the time of booking shows an expiry date of January 2027, you are still liable for the full tenancy ending in August 2027.

    If you still wish to leave the property, then you are free to do so at any time. If you wish to leave the property and remove your liability for the rent, you will be required to find a replacement tenant. We recommend advertising your accommodation on social media or your university’s forum. If you require any assistance with selling your room, please check with your Property Team, who may be able to help. Please liaise with your property team if a replacement tenant is found.  

    Please note all tenancy takeovers: 

    • are subject to an admin fee of £50, for England, Scotland & Northern Ireland properties only.
    • cannot be accepted from residents in arrears.
    • cannot take place after 1st June.
    • must be requested in writing.
    • can only take place if the replacement tenant is a student. 

    If your request was made on medical grounds and has been declined, we want to make sure you feel supported. Our Property Teams are there to listen and can help guide you towards the wellbeing resources that may best suit your needs. Do You Need a Guarantor?

Most landlords and letting agents require a UK-based guarantor. Without one, you may be asked to pay your full year's rent upfront. To help students navigate this, we've partnered with Housing Hand, which can provide a recognised certificate of rental guarantee, giving both you and your landlord peace of mind.

It's worth knowing that several of our student halls don't require a UK-based guarantor at all, allowing students to pay rent in convenient instalments instead.     My son stayed here for an year, and it was easily the best choice he made spacious rooms, a safe and friendly environment, and truly exceptional staff like Anita and Atef who made it feel like home. Highly recommended for any student looking for comfort, convenience, and peace of mind.

    I have lived here for the past 8 months and have extended my contract for another year as well. The booking process was super easy for me. The reception team is very supportive—especially Anita, who primarily handles bookings. She responds quickly via email and chat, and was very helpful during my moving process. The maintenance team is also supportive. I once had an issue with my bathroom drainage, and it was resolved within an hour of reporting it, which really impressed me. The rooms are very spacious compared to other accommodations. They are well-structured, allowing you to make the most of the space in a beautiful and functional way. The reception staff are friendly and do their best to resolve any issues—very accommodating and approachable. The location is excellent—right next to the train and tram stations. For those who enjoy the outdoors, there’s a beautiful park just a 2–3 minute walk behind the accommodation. It’s one of my favourite places for a walk and offers lovely city views. Grocery stores like Aldi and Lidl are just a 10-minute walk away, and there’s a SPAR only 2 minutes away. Hallam University is about a 5-minute walk, and the University of Sheffield is around 15 minutes away. The indoor facilities are great—there’s a quiet study room and a nice pool table. The rooms are sunny, airy, and well-ventilated. The studio kitchen is perfectly equipped with a fridge, microwave, and hob. Before handing over the keys, they conduct a check and visit the room to ensure everything is in order. Atef from the maintenance team is very approachable and resolves problems quickly. The number of rooms in the building is just right—it feels cozy and quiet. My room is also big enough for practicing yoga, which was an important factor for me when deciding to rebook this accommodation. While there are shared gym and yoga rooms in the common areas, I love having the space in my own room too. Overall, it’s been a great experience living here—comfortable, well-located, and well-managed.

    This is one of the few times I leave review. But I have to for laycock studios and their outstanding staffs. I have lived here for a year and compare to other student hostels I have stayed this is the best. It is always clean, they respect your privacy, the price is really ok for the rooms. The best part of my stay here are this two wonderful staff that are super friendly and ready to attend to any complain you have. Anita is indeed an amazing soul, she has made my experience topnotch and even when I had to leave she was super professional. Elena too is another treasure laycock studio Sheffield has that deserves 6stars. She is so kind, go to the extreme to attend to any complains I have. I highly recommend this hostel for any student that value comfort and luxury living.

    Just moved out of my year long stay. Here's my review: Pros: - great location, 5 min walk to the train station, 10 min walk to the Interchange bus station. 15 mins from The Moor shopping area. Also an Asda around 15 mins away, but buses run there too. Subway, McDonald's, and a Spar 2 mins away. - I studied at UoSheffield which is a decent walk (20/25 mins) to the campus but I found it fine as Sheffield is walkable and felt safe. You can use the tram too (Granville Rd stop) which is 5 mins from LS. - I visited some of the other studios around Sheffield and LS had the most spacious rooms and cleaner facilities for the price point. There are also some good deals around if you book at certain times. - the staff! Some really lovely reception staff, shout out to Anita for being so welcoming and helpful always 🥰 I also found the maintenance staff member super nice and helpful. - even though I did have some complaints, I found that management were receptive and tried to make arrangements rather than avoiding things raised. This is appreciated as these often go unaddressed in student accom. - personally as a postgrad, I didn't want a loud, social accom so this place was well suited for me. Residents are friendly but keep to themselves. - I appreciated the social craft events and free coffee. Especially liked pumpkin carving! - never had issues with water, heating, or wifi. Some instances where power went out but this was an area-wide issue. - quick deposit return. Cons: - small laundry facilities (3 washers, 3 dryers) which are often unclean, and often out of order. Circuit Laundry continues to rob students at £3.80 for a 40 min spin. - can get very noisy from road traffic. My room faced towards the McDonald's, so caught a lot of taxi commotion (cars use the road at the back of the building to access the train station), and also ambulances and speeding cars at the front of the building. I wore earplugs most nights as a light sleeper but some other residents found it fine. - bathroom facilities could be updated. Overall, a reasonably priced and well situated studio provider in Sheffield for both Hallam and UoSheff students. Would recommend! (4.5 stars) 🌞

    The Best Accommodation for Students in Sheffield! I moved in here 7 months ago, and it was the best decision I’ve made. The rooms are very spacious compared to other student accommodations—even the Bronze rooms feel roomy. I stayed in a Gold Studio (B31), which was absolutely worth it. The staff are incredibly friendly, and because it's a relatively small property, everything feels more personal—like home. In particular, Anita Morgan at the reception and Atef from the maintenance team did a tremendous job making us feel welcome and comfortable during our stay. There were no hassles whenever I needed help with rebooking or any issues. Atef always takes great care of the property—he’s friendly, hardworking, and very reliable. It feels like living in a small, close-knit community where you see your neighbors every day. The location is perfect: the train station and interchange are just 2–5 minutes away, with SPAR nearby for groceries. McDonald’s and Subway are just a minute away too. I also really enjoyed playing pool here with the mates I met—definitely one of the highlights! If you're considering staying here, just go for it. My personal suggestion: choose any block you like, but avoid the Courtyard Studios if privacy is important to you, as they’re on the ground level and more open. Thank you! ~V
