Cancellation policy

Unless you have booked a Clearing Room (see special cancellation terms for Clearing Rooms below) you can cancel free of charge if you are within your cooling off period; your cooling off period is 5 days from the date of booking, for bookings made until 28th May 2025, and 48 hours for bookings made on or after 28th May 2025.

You can also cancel free of charge under the below additional policies:

“No Place, No Pay”

If you have declined a place to study at a university located in the same city as your Vita Student accommodation, you may cancel and obtain a full refund, unless:

You have declined a place for any reason other than not meeting the academic requirements to obtain a place (including, but not limited to, academic or other misconduct, financial reasons, or withdrawing from your application or course)

  • You did not complete all necessary steps required by your university to complete your application in time
  • The Occupation Period outlined in your Licence Agreement has begun.

If you are initially declined a place to study at university, or progress into the next academic year, you must immediately notify us if you intend to appeal the decision. We will confirm to you whether you will continue to benefit from this additional policy during and subsequent to your appeal being made.

“No Visa, No Pay”

If you have declined a Visa to study in the UK, by UK Visas and Immigration, you may cancel and obtain a full refund if notice is provided to us before 16th August 2025, unless:

  • You did not complete all necessary steps required by UKVI to complete your visa application
  • Your university was unable to issue you with a CAS Number to obtain your visa owing to you not completing all necessary steps to complete your application to study.

Under both additional cancellation policies:

  • You must supply suitable proof to us in writing within 48 hours of being made aware of the change in circumstances and we may request additional information to support your cancellation request to satisfy ourselves of the circumstances of your request.
  • If at any point you have checked in to your Accommodation, you are unable to cancel your Agreement free of charge and must find a replacement student.

Should you need to make a request to cancel your accommodation under any of the above policies, you should send your request in writing (with supporting evidence attached) to info@beststudenthalls.com, and customerengagement@vitastudent.com.

Once you have booked and your cooling period has elapsed, you are bound into a legal license agreement which requires you to pay for the full period of the license agreement. We suggest if you are unsure about exam results, receiving your visa, or other conditions on your attending University that you contact us to discuss this at +44(0)203 096 1717.

If your cancellation request is accepted for one of the above reasons, any Advance Licence Fee Payment will be fully refunded to the account from which it was paid.

Clearing Room Cancellation Policy

There is no cooling-off period for our Clearing Rooms.

You can only cancel free of charge in line with the “No Place, No Pay” policy above.

Outside of these terms, in order to cancel you must organize a replacement student to take over your contract and take over the liability for the License Fee (and you will still be responsible for all payments until a replacement is found). For the avoidance of doubt, if at any point you have checked in to your booking, you are no longer eligible to cancel free of charge and must find a replacement student.
If your cancellation request is accepted for one of the above reasons, any Advance Licence Fee Payment will be fully refunded to the account from which it was paid.

    Is Guarantor required?

    Do You Need a Guarantor?

    Most landlords and letting agents require a UK-based guarantor. Without one, you may be asked to pay your full year's rent upfront. To help students navigate this, we've partnered with Housing Hand, which can provide a recognised certificate of rental guarantee, giving both you and your landlord peace of mind.

    It's worth knowing that several of our student halls don't require a UK-based guarantor at all, allowing students to pay rent in convenient instalments instead.       The staff at Vita are truly wonderful. Ryan, the manager, is one of the most caring and genuine managers I have ever worked with, and Sophie is just as kind and supportive who is now a friend for life. The whole team always looked out for one another and, most importantly, showed genuine care for the students and their wellbeing.       The last 1 and 1/2 years staying with Vita Student have been the most comforting time away from home, with the Free High-Speed WiFi, Daily Breakfasts and 5* housekeeping. While those are fantastic amenities, the real highlight of my stay were the staff. They have been extremely helpful when the courier service failed to pick up my suitcases last year and managed to secure them for me until I returned. They were timely and allowed me to feel relaxed after receiving the initial phone call from the couriers. Thank you very much Vita Student for enabling me to enjoy my time away from home.

      This is the last day of my stay at Vita Student and I have been here for 51 weeks. During this time I have had a great stay, I love the interior of my studio and the cleanliness of the common areas. My favourite part is the two floor to ceiling windows in the studio, the view and the light are great. Also, I was very well looked after by the Vita management team, they were all very friendly and welcoming and I appreciate the work they did, which helped me a lot. I will miss it all when I leave here, thanks vita!

      Six Years of Homecoming: Thank You, Vita Student Six years ago, when I moved into Vita Student, I was just a nervous freshman with two suitcases, a head full of questions. I never imagined it would become more than just an apartment—it became my home, my support, and a silent witness to every chapter of my university life. Vita Student gave me more than just a roof over my head; it was a place to grow. From late-night study sessions to morning coffee breaks(I drink four cups of coffee a day), from impromptu hallway chats to quiet evening reflections, this building has carried my laughter, my stress, my joy, and my loneliness. The staff has always been friendly, the facilities reliable, and the atmosphere warm. Here, I felt safe and able to be myself, even if I wasn't sure who I was yet. I've made lifelong friends here. I've cried over deadlines and danced after exams. I've learned to cook (sort of), to live independently, and to find joy in the little things—like the view from the window (but only from one side of the apartment; the other side wasn't so great) or the bustling life in the common room. Thank you for the comfort, community, and countless memories. Vita Student, you are more than just a building—you are part of my story. A special thank you to our cheerful, big-boy manager, whose name I won't mention here as a surprise for all incoming freshmen, because you'll know who I'm talking about when you arrive.
