Cancellation policy
Cancellations: Risk-Free Bookings for 2026/27
Cancellation Before Countersigning
If you cancel your booking before the agreement is countersigned, your advance rent payment will be refunded.
Cooling Off Period
If you booked online or by phone and have not viewed the accommodation in person, you have a 72-hour cooling-off period after booking (reduced to 24 hours from 1st August 2026).
During this period, you may cancel your booking provided you have not moved in. To cancel, please email the Residents’ Team with the subject line: “Cooling Off Period Cancellation.”
Refunds will be processed within 10 working days.
Cancellations for Exceptional Circumstances After the cooling-off period, you may cancel before the tenancy start date only if:
- You are unable to obtain a visa to enter the UK
- You did not receive the required grades to attend your chosen university
- You failed to achieve the grades needed to continue your studies
Please provide supporting evidence (e.g. UCAS notification or visa refusal) to your Residents’ Team within 72 hours of receiving it.
Your advance rent payment will then be refunded.
If you receive this notification after your tenancy start date, you remain responsible for rent payments up to the date you provide evidence and we confirm your release. No other cancellation requests will be accepted before or during the tenancy.
Finding a Replacement Occupier for your accommodation.
If you wish to end your license to occupy early, you may find a replacement licensee acceptable to the landlord. The new licensee will sign a new agreement, which may be at a different rent to match the current market rate.
Before we accept a replacement:
- Your rent account must be fully up to date
- Any rent owed up to your leaving date must be paid
Once the replacement licensee has signed and paid, they will assume responsibility for all future rent and obligations. Until then, you remain responsible for the rent until the original end date.

Booking Process Details
The booking process is quick and straightforward, but having some information ready will help. You'll need the name, email, and address of your guarantor, a headshot photo, and a bank card for the advance rent/booking fee (ROI only)
Do I Need a Guarantor?
Most properties require a guarantor, who will pay the rent if you can't. Your guarantor must be over 18, not live in a Fresh-managed property, and can reside outside the UK. After signing the contract, your guarantor must provide ID, proof of address, and sign the agreement. Some properties may allow you to pay the full year's rent upfront to avoid needing a guarantor. Check with the Residents’ Team if this option is available.
What is Advance Rent?
Most properties require advance rent when booking. This is refundable if you cancel within the cooling-off period, your place is withdrawn, or you cannot get a UK visa. This advance rent will go towards your first rent installment.

Do You Need a Guarantor?
Most landlords and letting agents require a UK-based guarantor. Without one, you may be asked to pay your full year's rent upfront. To help students navigate this, we've partnered with Housing Hand, which can provide a recognised certificate of rental guarantee, giving both you and your landlord peace of mind.
It's worth knowing that several of our student halls don't require a UK-based guarantor at all, allowing students to pay rent in convenient instalments instead. *Reposting as going through my reviews and this wasn't published a few years ago! Went against Google Policy (how for a good review?)* Love this place! Brand new accommodation — easily the best I’ve seen in Coventry. I definitely prefer private accommodation over uni-owned. It’s in a great location too, just 2 minutes away from all the shops and supermarkets. The staff are lovely — professional, friendly, and always willing to help. Big thanks to Vicky, Kerry, and Darren for being so supportive and approachable (so sad to see Kerry go — today’s her last day!). There are plenty of events and activities to get involved in, with new games and things to do all the time. The night staff, Ali and Manjeet, are brilliant as well. My room is spacious, modern, and spotless. The facilities are excellent — a well-equipped gym, cosy common rooms and study areas, and the winter garden on the 7th floor is just amazing! The only downside is the Wi-Fi — it’s quite poor, especially in the common areas and on the 6th floor. Hopefully that improves soon. Overall, a fantastic place to live. Thanks, Gulson Gardens Team!

⭐️⭐️⭐️⭐️⭐️ I moved into Gulson Gardens on July 15 and stayed in a studio on the 2nd floor. The place is really quiet, clean, and comfortable—perfect for studying and relaxing. The management team is friendly and supportive, and I especially want to thank Sofie for all her help. She made the whole process stress-free by handling my paperwork and was always there to make me feel at ease. Couldn’t have asked for a better experience so far!
